ENGINEERING & OPERATIONS EXECUTIVE ASSISTANT

 

Use your initiative and exemplary administrative skills to provide executive support to the Vice President Engineering & Operations. 

Reporting to the Vice President, Engineering & Operations, you will be responsible for executive management and administrative duties.  In this role you will represent the division to both internal and external contacts.  The work performed requires discretion and thorough knowledge of the Executive’s functional area. 

Key duties and responsibilities of the Engineering & Operations Executive Assistant role will include: 

    • Providing administrative support for the Vice President and the team as required.
    • Preparing reports, briefing documents, and complex spreadsheets for the Vice President in a variety of formats (PowerPoint, Excel, Word documents, etc.).
    • Coordinating, attending, and recording minutes at various meetings requiring a high degree of confidentiality.
    • Assisting with developing and implementing process improvements to maximize departmental efficiencies.
    • Managing general correspondence on behalf of the Vice President, through processing incoming calls, mail and taking appropriate action and escalation with minimal supervision.
    • Assisting in departmental budget preparation, expense tracking, and allocating resources.
    • Interact with industry professionals, corporate customers, city officials, industry associations, regulators and other agencies.
    • Scheduling meetings, appointments, travel, accommodation, and reservations.
    • Greeting Executive Office visitors and telephone callers, answering questions, and providing information.
    • Adhering to all Occupational Health & Safety Act rules and regulations, the E&USA rule book and London Hydro work practices. 

Essential Qualifications 

    • Your profile as the qualified Engineering and Operations Executive Assistant we seek will include the following strengths:
    • Community college diploma requiring more than 2 years to obtain or equivalent.
    • At least 5 years of experience in a similar role. 

 

    • Advanced proficiency using personal computers with the appropriate software packages, including excellent PowerPoint, Word and Excel skills.
    • Strong interpersonal skills and excellent written and verbal communication skills. 
    • Experience recording meeting minutes.
    • Proficient organization, planning, scheduling and time management skills, and the ability to multi-task, make decisions and prioritize work.
    • Ability and initiative to work on your own and under pressure.
