Payroll Specialist

The Payroll Specialist is responsible for the timely and accurate processing of payroll for Energy+ Inc., as well as other smaller entities within the corporate group of companies. Payroll currently includes weekly union and non-union payroll for employees, variable compensation programs, and quarterly payroll for Board of Directors. In addition to the preparation of payroll, responsibilities also include payroll accounting tasks, including monthly entries to the general ledger, month-end accruals, and balance sheet account reconciliations for payroll related accounts. A high level of confidentiality is expected in this role. 

The primary duties and responsibilities for this role include:

  • Preparation and processing of payroll in accordance with pre-established timelines.
  • Ensure that all necessary government filings and remittances relative to payroll are made in a timely manner including, but not limited to, CRA remittances, WSIB, EHT, union dues, OMERS pension plan payments, and garnishments.
  • Preparation and compliance with all year-end payroll related filings and returns including T4’s and T4A’s, OMERS Form 119, etc. in accordance with internal and external reporting requirements.
  • Assist with financial audits related to pay records and associated general ledger accounts.
  • Assist employees with payroll requests and questions in a timely manner, as well as training for new employees on time and attendance.
  • Preparation, documentation, and maintenance of all payroll processes and procedures.
  • Maintain and update payroll database in Dynamics GP, as well as active participation in system upgrades and enhancements, including user acceptance testing, and continued development of automated processes and reporting.
  • Support the preparation of the annual payroll budget and forecasts, as well as periodic analysis of actual payroll costs to budget.
  • Design and maintain regular weekly, monthly, and annual departmental and management reports, and the preparation of special request reports, as required.
  • Subject matter expert for special projects, including evaluation of policies, processes, and payroll solutions, and integration or conversion of multiple payroll systems. 

Education and qualifications include: A Canadian Payroll Association certification is required. A post-secondary education in a business, accounting, or related field is preferred. At least 5 years of payroll administration experience, and current with all government and regulatory requirements. Experience with Dynamics GP would be a definite asset. Proficient in Microsoft Office suite of programs, especially MS Excel. Effective organization and time management skills, combined with excellent interpersonal skills, and a high degree of initiative, mature judgement, and discretion, will make you an ideal candidate.
