We are currently seeking a collaborative individual to join our team as an Executive Assistant reporting to the President & CEO.  This position manages and coordinates the flow of work relating to the administration of day-to-day operations in the office of the President & CEO and Executive Team.  This incumbent is also responsible for supporting the Board of Directors, acting as the administrative assistant to Boards and Board Committees.   This position requires someone experienced in administration assistance with a high level of tact, integrity, and confidentiality.  Working hours may change on short notice to meet deadlines. 

Key Responsibilities 

  • Provide administrative support to the President & CEO, including confidential correspondence and reports, preparing agendas, taking minutes. Ensure that meeting materials are available and action items are completed on a timely basis.
  • Maintain the President & CEO’s calendar and schedule appointments based on priorities of issues and events.
  • Coordinate meetings for the Board of Directors, inclusive of preparing confidential minutes, letters, and agendas, for board and committee meetings. Manage and administer the Secure Electronic Board Books website to upload all meeting minutes.
  • Prepare and administer the budget and timesheets for the office of the President & CEO and the Board of Directors.
  • Complete registration and business travel arrangements, including hotel accommodations, for conferences, meetings, seminars and training sessions for the President & CEO and Board of Directors.
  • Assist with the planning and execution of corporate events involving the President & CEO or the Board.
  • Maintain corporate files and records in accordance with information retention schedules. 

Skills and Abilities 

  • Advanced computer literacy and excellent working knowledge of Microsoft Office products to prepare reports, presentations, correspondence, and minutes
  • Advanced organizational and time management skills, with the ability to multi-task and prioritize assignments, while remaining calm and consistently acting professionally, within a fast paced, deadline-oriented environment
  • Advanced written and verbal communication skills and the ability to communicate effectively with all levels both internal and external to the organization
  • Ability to work with stakeholders to plan, prioritize and organize work and ensure deadlines are achieved
  • Ability to maintain a high level of confidentiality and integrity
  • Ability to be resourceful, flexible, and dependable
  • Demonstrated ability to support corporate vision and to integrate corporate philosophies into daily routine
  • Professional and courteous demeanor in dealing with Shareholders, Board members, Executive team, fellow employees, customers, public and outside agencies 

Knowledge/Education/Experience 

  • Post-secondary diploma in office administration
  • CCAP Certified Administrative Professional would be an asset
  • 8-10 years’ experience supporting a senior executive including experience working with a Board of Directors
  • Advanced knowledge of administrative/clerical procedures and systems such as file management
  • Basic knowledge of using and maintaining a Secure Electronic Board Books website
  • Basic knowledge of Corporate Record Keeping principles and fundamentals
  • Basic knowledge of Occupational Health and Safety requirements as it relates to individual, organizational and operational requirements
